Vehicle Fuel Log
Every refuelling from the Trip & Fuel form: vehicle, driver, station, fuel type, litres, price, odometer, receipt number. The basis for fuel-cost control per vehicle.
Questions It Answers
- How many litres and how much money did vehicle X use this month?
- When was it last filled to full, and at what odometer?
- Which refuellings have no receipt number?
Filters
| Filter | What it does |
|---|---|
| Transaction Date | Date range of the refuellings. Empty means the whole history - slow on years of data, so always fill it. |
| Division | Pre-filled from the user role's default division. A role locked to one division cannot change it. |
| Vehicle | One vehicle from the master. |
| Supplier | Workshop/fuel station as supplier; pre-filled from the role's default supplier when set. |
| Fuel Type | One type from the Fuel Type master. |
How To Read It
One row per refuelling, in time order.
| Column | Meaning |
|---|---|
| Transaction Date Time, Vehicle, Driver, Supplier, Fuel Type | Identity of the refuelling. |
| Full Tank | Yes/No - needed to compute true consumption between two full fills. |
| Odometer Value | Odometer at refuelling. |
| Quantity, Unit Price, Total Amount | Litres, price per litre, and total money. |
| Station Name, Receipt Number, Notes | Physical evidence for reconciliation. |
Why The Numbers May Differ
- A refuelling recorded without a trip number is not counted in the Vehicle Route fuel figures, but still shows here.
- Totals here are fuel cost recorded, not paid - payments to stations/suppliers live in purchasing or cash.
- This report does not filter on approval status.
