Supplier History
The complete supplier statement: opening balance, every purchase invoice, return, payable payment, and adjustment with a running balance - then the prepayment card below it. For reconciling with the supplier's statement.
Questions It Answers
- Why do we owe this supplier what we owe - from which transactions?
- When did we last pay this supplier, and how much?
- How much prepayment is still held by the supplier, and which invoices used it?
Filters
| Filter | What it does |
|---|---|
| Transaction Date | Date range of the shown; transactions before the start date are summarised as Opening balance. Empty means the whole history - slow on years of data, so always fill it. |
| Supplier | One supplier only; pre-filled from the role's default when set. |
| Division | Pre-filled from the user role's default division. A role locked to one division cannot change it. |
| Currency | Only transactions in that currency. Amounts are still shown in the company default currency. |
How To Read It
One block per supplier (code, name, address, credit limit). First the payable card, then the supplier prepayment card.
| Column | Meaning |
|---|---|
| Opening balance | Payable before the filter start date, including all older transactions. |
| Transaction | Its type: purchase invoice, purchase return, payable payment, or the name of the payable adjustment type. |
| Debit | Increases the payable: purchase invoice value. |
| Credit | Decreases it: payments on the invoice, returns, payable payments, adjustments. |
| Balance | Running balance = previous balance + Debit - Credit. Same direction as the receivable card: invoices in Debit, payments in Credit. |
| Supplier Prepayment | Second card: deposits paid to the supplier (Debit) and deposits used on invoices (Credit) per payment type, with its own balance. |
Why The Numbers May Differ
- An invoice paid in cash at entry shows both Debit and Credit - net zero, but the row is there.
- All amounts are converted to the default currency at each transaction's rate.
- The supplier's statement usually uses their invoice dates; this report uses the entry date of the invoice in the system.
- Documents still waiting for approval are not counted. If the approval workflow is on and the figures look low, check the Approval Queue.
