Filters
| Filter | What it does |
|---|---|
| Transaction Date | Date range of the invoices. Empty means the whole history - slow on years of data, so always fill it. |
| Division | Pre-filled from the user role's default division. A role locked to one division cannot change it. |
| Currency | Only transactions in that currency. Amounts are still shown in the company default currency. |
| Sales Representative | One sales rep only; pre-filled from the role's default when set. |
| Customer Group | Only invoices of customers in that group; pre-filled from the role default when set. |
How To Read It
| Column | Meaning |
|---|---|
| Sales Invoice, Sales Date, Customer Name | Invoice identity. Order: division, then date and time. |
| Gross | Sum of price x quantity over all lines, before discounts. |
| Discount Value | Total line discount. |
| Invoice Discount | Discount at the foot of the invoice, separate from line discounts. |
| Tax | Line VAT plus invoice extra tax. |
| Reward, Reward tax | Value of reward products that went out (from Reward Rules) and their tax. Not billed to the customer. |
| Expenses | Sales expenses charged to the invoice (freight, stamp duty). |
| Net | Final invoice total billed to the customer. |
| Payment | Amount already paid for that invoice, from the invoice Payments tab or Receivable Collection. |
| TOP String | Terms: 2/10 n/30 means 2% discount if paid within 10 days, due in 30 days. |
Why The Numbers May Differ
- This report reads approved Sales invoices, POS cashier receipts included (POS is stored as an ordinary invoice). What it leaves out: sales returns and opening receivable balances from the Opening Receivable form. The "by Division" reports do include those opening balances, so their totals can be higher - that is the source of the difference, not POS. For cashier takings use the Customer Payment Report.
- Returns are not deducted; see Sales Return Summary.
- Documents still waiting for approval are not counted. If the approval workflow is on and the figures look low, check the Approval Queue.
- Net is not Gross - Discount Value - Invoice Discount + Tax when the invoice is rounded or carries expenses; the Expenses column explains the gap.
- Payment larger than Net means an overpayment is recorded on that invoice - check its Payments tab.
