Sales by Division, Customer, and Product
What each customer bought in a period, with value and profit per product. The report that answers "what does this customer usually buy".
Questions It Answers
- Which customers bought a given product, and how much?
- How much profit did one customer generate this period?
- What did customer X buy last month - for the next sales visit?
Filters
| Filter | What it does |
|---|---|
| Transaction Date | Date range of the sales. Empty means the whole history - slow on years of data, so always fill it. |
| Division | Pre-filled from the user role's default division. A role locked to one division cannot change it. |
| Product Code | One product only - handy for tracing the history of a single item. |
| Customer | One customer only. A role locked to a specific customer gets it pre-filled and read-only. |
| Sales Representative | One sales rep only; pre-filled from the role's default when set. |
| Serial Number | Match a serial number exactly (=) or partially (like). Only meaningful when the company uses serial numbers. |
How To Read It
Nested result: Division > Customer (code, name, address) > product rows. Subtotals per customer, per division, then a grand total.
| Column | Meaning |
|---|---|
| Quantity, Unit | Quantity sold in the unit written on the invoice - not converted to the base unit, so 1 box and 12 pcs show as two rows. |
| Gross | Price x quantity before line discount. |
| Discount | Discount per product line. Invoice-level discount (at the foot of the invoice) is not here. |
| Net | Gross - Discount. |
| Tax, Extra Tax | Line VAT, and any extra tax (e.g. restaurant tax) computed per product. |
| Subtotal | Net + Tax + Extra Tax. |
| Profit, Profit Margin | Shown only to roles allowed to see purchase prices. Profit = Gross - Discount - tax included in the price - COGS at the time of sale. Profit Margin = Profit / (Gross - tax included in the price) x 100%. |
| Serial Number, Expiration Date | Shown only when the company uses product serial numbers/expiry; otherwise the columns are absent. |
Source: Sales invoices and POS cashier receipts that are approved (when the approval workflow is on). Returns are not deducted here - see the Sales Return reports.
Why The Numbers May Differ
- POS cashier receipts are included here. Sales Summary and Sales Trend read Sales invoices only, so their totals are lower than this report whenever there are cashier sales.
- Documents still waiting for approval are not counted. If the approval workflow is on and the figures look low, check the Approval Queue.
- Invoice-level discount (at the foot of the invoice) does not reduce the per-product figures here, so the Subtotal total can exceed the invoice totals in Sales Summary.
- Quantities are not converted between units: a product sold in boxes and in pieces shows as separate rows with their own quantities.
- Returns are not deducted. For net sales, subtract the Sales Return report with the same grouping.
- Profit and Profit Margin disappear from the table when the user's role may not see purchase prices - not because the data is empty.
