Filters
| Filter | What it does |
|---|---|
| Transaction Date | Position as of a date (up to and including). Empty means today. |
| Division | Pre-filled from the user role's default division. A role locked to one division cannot change it. |
| Customer | One customer only. A role locked to a specific customer gets it pre-filled and read-only. |
| Balance | Filter by remainder: > 0 for those still holding a deposit, = 0 for fully used. |
How To Read It
| Column | Meaning |
|---|---|
| Division, Customer Code, Name, Address | One row per customer per division. |
| Balance | Deposits received (Customer Prepayment form) minus deposits used as payment on invoices, up to the filter date. |
| Payment Type | The prepayment type used. If a customer has more than one type, the balances are summed on one row. |
Why The Numbers May Differ
- Prepayments are kept per division: a deposit received in division A is not a balance in division B and cannot pay a division-B invoice.
- An invoice can only use deposits dated no later than the invoice date - tomorrow's deposit does not appear on today's invoice even though it is in this report.
- Amounts are shown in the transaction currency, not converted; Customer History shows them in the default currency.
- The detail (each deposit and each use) is on the prepayment card in Customer History.
