Purchase Order
Purchase Orders with how much of each product has been received. The report for chasing supplier orders that have not arrived.
Questions It Answers
- Which POs are not fully received, and which products are still short?
- What order value to supplier X is still open?
- Has PO number X become a purchase invoice yet?
Filters
| Filter | What it does |
|---|---|
| Transaction Date | Date range of the orders. Empty means the whole history - slow on years of data, so always fill it. |
| Division | Pre-filled from the user role's default division. A role locked to one division cannot change it. |
| Invoiced | Toggle. Off (default): only POs not yet turned into an invoice - open orders. On: only POs already invoiced. |
| Supplier | One supplier only; pre-filled from the role's default when set. |
How To Read It
One block per PO: header (number, supplier, buyer, date, total, memo) then product rows.
| Column | Meaning |
|---|---|
| Quantity, Unit | Quantity ordered. |
| Received | Quantity that has come in through Goods Receipts referencing this PO. |
| Not Yet Received | Quantity - Received. This is what is still awaited from the supplier. |
| Gross, Discount, Net, Tax, Extra Tax, Subtotal | Order value per product; Subtotal = Net + taxes. |
Why The Numbers May Differ
- "Received" is computed from Goods Receipt documents, not invoices. A PO invoiced directly without a Goods Receipt still looks unreceived.
- POs do not filter on approval status - orders still awaiting approval are listed.
- The PO total in the header is the final amount after invoice discount; the sum of line Subtotals can differ because the invoice discount isn't spread across lines.
