General Journal Report
Journals listed number by number with their debit/credit lines. For reviewing unapproved journals, printing journal vouchers, and auditing manual entries.
Questions It Answers
- Which journals are still awaiting approval?
- What is in journal X - which accounts are debited, which credited?
- Which manual journals did a given user make this month?
Filters
| Filter | What it does |
|---|---|
| Transaction Date | Date range of the journals. Empty means the whole history - slow on years of data, so always fill it. |
| Division | Pre-filled from the user role's default division. A role locked to one division cannot change it. |
| Invoice | Journal number - exact (=) or partial (like). |
| Created By, Edited By | Creating or editing user. |
| Approved | Toggle, on (default): approved journals only. Turn it off to see journals still awaiting approval. |
How To Read It
One block per journal number (Invoice, Date, Division, Memo, Approved, Transaction Ref.), then account lines: Account Code, Account Name, Debit, Credit, line memo. Debit and credit totals of each journal must match.
Why The Numbers May Differ
- This is the only finance report that can show unapproved journals - turn the Approved toggle off. No other report ever includes them.
- Automatic journals from transactions (Transaction Ref. filled) are rebuilt every time the transaction is saved; editing such a journal directly is overwritten when the transaction is edited again.
- The same journal number in two divisions is two different journals - numbers are unique per division.
