General Ledger
Every movement on each account: opening balance, each journal touching it with a running balance, and the originating transaction. The report for tracing "where did this figure come from".
Questions It Answers
- Which transactions hit this account last month?
- Which invoice did this journal come from?
- Who created or edited journals on the cash account?
Filters
| Filter | What it does |
|---|---|
| Journal Date | A range (between), or one-sided (<=, >=, =). Journals before the start date are summarised as Opening balance. |
| Division | Pre-filled from the user role's default division. A role locked to one division cannot change it. |
| Account | One account. Empty means every account - a very long result; always fill it for daily checks. |
| Created By, Edited By | Filter journals by the user who created or last changed them. |
How To Read It
One block per account (code and name), starting with the Opening balance.
| Column | Meaning |
|---|---|
| Division, Date | Journal division and journal date. |
| Invoice | Journal number. |
| Reference | Originating transaction: the sales, purchase, collection, etc. number that generated this journal. Empty for manual journals. |
| Debit, Credit, Balance | Movement and running balance: previous balance + Debit - Credit, for every account kind (liability/equity/revenue accounts run negative here). |
| Created By, Edited By | Users who created and last changed the journal. |
Why The Numbers May Differ
- Only approved journals count. Journals still awaiting approval (when journal approval is on) change no figure here.
- The running balance is always Debit - Credit, so liability, equity, and revenue accounts show negative - that is normal, not a posting error.
- Reference points to a transaction number; when that transaction is edited, the old journal is deleted and rebuilt with the transaction date - its order and number can change.
