Business Performance Overview
A single page that answers "how is my business doing" without opening any other report: sales, returns, profit, receivables, purchases, payables, and inventory, each compared against the preceding period. This is the first tab that opens on the Dashboard.
Questions It Answers
- Are my sales up or down against the previous period, and by how much?
- After discounts, returns, and cost of goods, what is my actual profit?
- Which branch, brand, product, customer, and salesman contribute the most?
- How much of my money is still with customers, and how much is overdue?
- How much did I spend, with which suppliers, and how much do I still owe?
- Which goods sell well but are running low, and where is my capital sitting idle?
How To Use It
- Open Dashboard. The Business Performance Overview is already open as the first tab.
- Set the Period. It defaults to today; change it to the range you want, for example the first of the month through today.
- Set Division if you run more than one branch and want to see just one. Leave it empty to see all of them.
- Run the report. Your filter choices are remembered, so the next visit opens on the same range.
Reading The Comparison Column
The Previous Period column does not mean "last month". The report works it out itself: a range as long as the one you picked, immediately before it.
- Picking 1–28 February compares against 4–31 January, not the whole of January.
- Picking the last seven days compares against the seven days before that.
- The Change column turns green when the direction is favourable. For returns, discounts, and cost of goods the favourable direction is down, so a shrinking number is the green one.
How The Summary Is Calculated
| Row | Meaning |
|---|---|
| Gross Sales | Value of goods before any deduction, already net of goods returned. |
| Discount | All deductions, both per line and at invoice level. |
| Sales Return | Value of return notes in the period. Already deducted from the net figure, shown separately so its size is visible. |
| Tax | The difference between invoice value and net value before tax. |
| Net Sales | Gross minus discount. This is the base used for profit. |
| Cost of Goods Sold | The actual cost of goods sold, taken from the cost recorded on each invoice — not an estimate. |
| Gross Profit | Net Sales minus Cost of Goods Sold. Operating expenses are not yet deducted. |
| Margin | Gross Profit divided by Net Sales. Its change is written in pp (percentage points), not a percentage of a percentage. |
| Average per Invoice | Net invoice value divided by invoice count. Rising means buyers spend more per visit. |
What Is Counted And What Is Not
- Point of sale takings are included. This differs from the Sales Summary report, which contains invoices only. If the two reports disagree, this is almost always why.
- Approved documents only. A note still awaiting approval has no effect yet and is not in this report.
- Returns are deducted. A return note reduces sales, quantity, and cost of goods together.
- Foreign currency transactions are converted to the main currency using the rate recorded on the note.
Sections You May Not See
Profit, cost of goods, margin, the entire Purchase section, and inventory money values appear only for roles allowed to see purchase price history.
- Roles without it still see sales, returns, rankings, receivables, and stock quantities — only the cost figures are hidden.
- The setting lives on the User Role form, under purchase price history. There is no separate switch for this report.
- Because the Dashboard itself is already gated by menu permissions, the simplest way to hide this report entirely is to not give that role access to the Dashboard.
Receivable And Payable Ageing
Age is counted from the document date to the end of your chosen period, then grouped into up to 30 days, 31–60, 61–90, and over 90 days.
- The largest rows are listed first; the rest are folded into a single Others row so the total stays complete.
- The share over 60 days is shown below the table — the fastest signal that collection is falling behind.
The Inventory Section
- Inventory Value uses the cost price that applies in that division. Where one product has different prices per division, the most specific one for that division is used.
- Stock Needing Attention lists goods that are negative or already at their minimum, sorted by best selling first — so what threatens sales appears before dead stock that happens to also be below minimum.
- Idle Capital lists goods still in stock that did not sell at all during the period, sorted by largest value.
Common Problems
- Figures differ from the Sales Summary: that report excludes point of sale takings, this one includes them.
- The previous period column is empty: there simply were no transactions in an equally long range before the period you chose.
- An Invoice Data Discrepancy row appears: some invoice has a net value that does not equal gross minus discount. The report shows it separately so the summary still adds up; check the invoices in that period.
- The report feels slow: a very long date range means every stock card is read. Narrow the period.
- The Purchase section says it is locked: your role is not allowed to see purchase price history.
