Glossary of Terms

Terms used by Acosys and this documentation, with the other words people commonly use for the same thing. If you search "DP" and find nothing, search "prepayment".

Terms and Their Synonyms

Term in Acosys Also called Meaning
Invoice receipt, bill, sales note, POS receipt A saved sales/purchase transaction document. A POS cashier receipt is also an invoice, of kind POS.
Prepayment down payment, DP, deposit, advance Money paid before the invoice exists; held per customer/supplier and used as invoice payment.
COGS cost of goods sold, cost price, landed cost Per-unit purchase value carried by stock and expensed on sale; recomputed at each stock-in.
Receivable AR, accounts receivable, customer balance, outstanding invoice Unpaid remainder of sales invoices owed by customers.
Payable AP, accounts payable, supplier balance Unpaid remainder of purchase invoices owed to suppliers.
Sales order SO, customer order, customer PO A customer order before goods are delivered/invoiced.
Purchase order PO, supplier order Our order to a supplier before goods are received/invoiced.
Delivery order DO, delivery note, shipment note Goods-out document for an order, without money values.
Goods receipt GR, GRN, receiving Goods-in document for a purchase order, before the purchase invoice.
Return credit note, goods return Goods sent back: sales return (from customer) or purchase return (to supplier).
POS cashier, point of sale, till, cashier receipt The cashier screen for fast sales; its receipts are of kind POS and excluded from Sales Summary.
Division branch, business unit The largest data partition: document numbering, stock, journals, and reports per division.
Department warehouse, outlet, store, stock location, cost center A stock location or cost center inside a division.
Base unit smallest unit, pcs, unit quantity The unit with quantity 1 in the product master; stock and COGS are kept in it.
Stock take inventory adjustment, physical count, stock opname Counting physically then correcting system stock through Inventory Adjustment.
Inventory transfer stock transfer, moving, mutation Goods moving between departments/divisions without a sale.
Terms TOP, payment terms, due date, n/30 Invoice payment terms: due days and early-payment discount.
Approval workflow authorisation, approval, sign-off Documents wait for approval before touching stock or journals.
Journal journal entry, voucher, GL posting Debit/credit record on accounts; generated by transactions or typed manually.
General ledger GL, account card, account history Each account's movement history with a running balance.
Year-end closing closing, period close, cut-off Moves current-year profit to retained earnings; cut-off carries opening balances and locks old periods.
Balance sheet statement of financial position Assets, liabilities, equity as of a date.
Income statement P&L, profit and loss Revenue and expenses over a period.
Sales rep salesman, sales representative, salesperson The person recorded as seller on an invoice; basis for targets and commission.
Service staff technician, therapist, mechanic, service doer The person who performs a service on an invoice line; basis for service commission.
Outlet customer, account, store, lead (prospective) A customer in the CRM module; a lead is a prospect without an account yet.
Work order SPK, production order, job order A production instruction: production order with components and work operations.
BOM bill of materials, recipe, formula The list of materials and operations to make one finished product.
Requisition purchase request, PR An internal purchase request before a PO is made.
Queue ticket queue number, ticket number One number in the Queue module (A-012) with waiting/called/serving/finished status.
Kiosk self-service terminal, ticket machine The device where visitors take a queue number or clock in.
Acosys Client desktop app, printer service, Android app, hub The companion app on a computer/tablet for POS printing and broadcasting queue screens on the LAN.
Tenant company database, workspace, company account One company on the cloud service, with its own database and subscription term.
Add-on extra module, paid feature A module bought separately from the base plan: CRM, School, Queue, Approval, Equity, Farm, etc.
