When to Use This Form
- When the company adds a new payment method such as cash, bank, bank draft, down payment, points, or payment gateway.
- When the payment posting account, payment discount account, or payment fee account needs correcting.
- When the payment QR code or default payment fee needs setting up for cashiers and transaction admins.
Before You Start
- Make sure the Payment, Payment Discount, and Payment Fee accounts have been created as non-group accounts.
- Set the payment type correctly because this type determines how the payment is processed in transactions.
- Prepare the QR code if the payment method will be shown to cashiers or customers.
Workflow
- Open Settings / Business Setup / Payment Method List.
- Enter the code, name, description, and payment type.
- Enter the default fee if the payment method has an admin fee or MDR.
- Select the payment account, payment discount account, and payment fee account.
- Add a QR code if the payment method needs to be shown in the cashier process.
- Fill in Fee Formula when the fee is a percentage plus a fixed amount; choose Payment Gateway and Gateway Method when this payment type must open one specific gateway.
- Save, then test it from a transaction that uses that payment method.

Details and Relations
- This form has no detail table. The data is saved directly from the main fields.
What Happens After Saving
- Active payment methods can be selected in sales, purchases, receivable collections, payable payments, DP, POS, or other relevant processes.
- The payment, discount, and fee accounts affect subsequent payment journals.
- Payment types such as bank draft, DP, points, and payment gateway can trigger different follow-up processes.
- If any data is not valid, the application rejects the save and shows a validation message.
- The fee from Fee Formula is charged to the buyer on top of the payment amount (the buyer pays the amount plus the fee) and is posted to the Payment Fee account. Do not charge the same fee both here and in the payment provider's settings.
Common Problems
- Payment type cannot be saved: check the code, name, type, payment account, discount account, fee account, and the validation message.
- Payment method does not appear in transactions: check the active status, payment type, and user access rights.
- Payment journal uses the wrong account: re-check the Payment, Payment Discount, and Payment Fee accounts.
- QR code does not appear: make sure the QR image has been uploaded and the selected payment method actually uses QR.
- Fee does not match the formula: check the punctuation in Fee Formula. A formula that cannot be read is rejected on save. The fee is calculated from the amount that settles the transaction and then added to the amount the buyer pays.
- Online pay button is disabled with a message about the amount being below the minimum or above the maximum: the amount is outside the Minimum Amount or Maximum Amount of that payment type. Choose another payment type, or change the range.
- A payment gateway row does not appear in the POS: the gateway chosen in Payment Gateway is not active or not allowed. Check the gateway settings.
Available Fields
The following list summarizes the fields available on the form. Rarely used fields are still listed so they are easy to look up during training or support.
| Field | Explanation for Users | Status |
|---|---|---|
Code
id |
Data code. Use a consistent pattern so the relevant team can find it easily. | Required |
Name
name |
Name shown on screen, in data selections, and in reports. | Required |
Description
description |
Additional description so users understand the context of this data. | Optional |
Type
kind |
Payment type, for example cash, bank, bank draft, down payment, points, or payment gateway. | Required |
Default Fee
defexpense |
Default fee percentage automatically proposed for this payment method. When a Fee Formula is filled in, the formula is used and this field has no effect. | Optional |
Fee Formula
expenseformula |
Optional. The fee charged to the buyer on top of the payment amount, written as a formula: percent and fixed amounts are added with +, optionally followed by min or max. Examples: 2.5%+2500, 0.7%, 4000, 0.7% min 1000 max 5000. The result is always rounded to whole currency units. A dot or comma may be used as the decimal mark. A fixed number with exactly three digits after the separator (2.500) is rejected because it is usually a thousands separator typed by mistake; write 2500. Leave empty to use the percentage in Default Fee. |
Optional |
Payment Gateway
gatewaykey |
Only for the Payment Gateway type. Choose one gateway (for example Espay or DANA) so this payment type always opens that gateway. Empty means the cashier chooses among all active gateways. | Optional |
Gateway Method
gatewaymethod |
Only shown when a Payment Gateway is selected. Choose one or more methods (the list follows the selected gateway) to narrow the payment page to those methods only, for example QRIS or VA_BCA (Espay and DANA). Empty means every method enabled in the gateway settings. A method that is switched off in the gateway settings cannot be switched on from here. |
Optional |
Minimum Amount
minamount |
Only for the Payment Gateway type. The smallest amount this method is suited for; 0 means no limit. When the transaction amount is below it, the pay button is disabled and the cashier is asked to use another method. | Optional |
Maximum Amount
maxamount |
Only for the Payment Gateway type. The largest amount this method is suited for; 0 means no limit. It guides the cashier and does not replace limits set by the payment provider (for example the per-transaction QRIS limit). | Optional |
Payment Value Per 1 Point
pointpayment |
Nominal value of every 1 point if the payment type uses point cash. | Optional |
Payment
paymentacc |
Cash/bank account or the main account used when the payment is posted. | Required |

Gateway, Fee, and Range Setup Examples
One payment type row represents one choice at the cashier. To offer different choices by amount, create several rows with the Payment Gateway type.
- QRIS for small amounts: Payment Gateway Espay, Gateway Method
QRIS, Fee Formula0.7%, Maximum Amount500000. - Virtual Account for large amounts: Payment Gateway Espay, Gateway Method
VA_BCA, Fee Formula4000, Minimum Amount500001. - Debit or credit card through an EDC machine: Bank type, Fee Formula
2.5%+2500. - Break-even point: a percentage fee is cheaper for small amounts and a fixed fee is cheaper for large ones. Work out the break-even from your payment provider's contract rates before choosing the range figures.
