Inventory Transfer
Moves goods from one warehouse to another - within the same division or across divisions - without a sale and without prices. Stock decreases at the origin and increases at the destination with the same COGS.
When To Use This Form
- Sending stock from the central warehouse to an outlet/branch.
- Pulling goods from an outlet back to the warehouse.
- Not for sales between different legal entities - those are sales and purchase invoices.
Fields To Watch
| Field | What to watch |
|---|---|
| Division, From Department | Origin of the goods; pre-filled from the role default and locked when the role is locked. |
| To Division, To Department | Destination. Another division is allowed when the role permits; the destination department must belong to the destination division. |
| Invoice, Date, Time | Document number and time of transfer - stock at the destination is available from this time. |
| Product, Unit, Quantity | Item and quantity in the chosen unit; stock is recorded in the base unit (unit content x quantity). |
| Serial Number, Expiration Date, SN from List | Shown only when the company uses serial numbers; SN from List picks an existing serial. |
| Notes, Change Log | Document memo and the note written when the document is changed after saving. |
What Happens After Saving
- Stock decreases in the origin department and increases in the destination with the same COGS - company inventory value does not change.
- A transfer across divisions is journalled through the company's inventory transit account: origin Cr inventory / Dr transit, destination Dr inventory / Cr transit, so each division's balance sheet stays right. Within one division there is no journal.
- When the approval workflow is on for inventory documents, stock and journals change only after the document is approved in the Approval Inbox.
Common Problems
- Negative stock at the origin: quantity exceeds the origin department's stock on that date.
- Destination department missing: it belongs to a division other than the chosen To Division.
- Goods "missing" in the destination report: the report is dated before the transfer time, or its department filter is still the origin.
- Stock Transfer by Invoice and Stock Transfer Summary read these documents; origin and destination filters pre-filled to the same place give an empty report.
