Inventory Posting
Turns the daily records of a date range into inventory transactions and journals in the house division. Saving the row means posting; deleting it means reversing.
When This Form Is Used
- End of week, end of month, or end of cycle - whichever matches the bookkeeping rhythm.
- When a house feed cost and harvest value need to reach the ledger.
- When a posting must be corrected: delete the row, fix the daily records, then post again.
Before You Fill It In
- Every daily record in that range is complete and correct, including its feed detail.
- The house has a feed expense account, and a harvest account if it produces eggs or milk.
- Feed stock already sits in the house division - usually through a transfer from the warehouse - so the cost is valued at what was actually paid.
- If deaths should reduce inventory: the livestock product and mortality expense account are set on the house, and the animals were booked in.
Workflow
- Pick the batch, then fill in the start and end dates. The range may not overlap another posting of the same batch.
- Fill in the transaction time if the business separates posting times.
- Fill in a memo if useful; left empty, the application writes the batch and date range itself.
- Save. The application checks every precondition first, then creates the transactions.
- Check the result columns: number of days, feed transaction number, harvest transaction number, mortality transaction number, and their quantities.
- Open Farm / Farm Operations / Inventory Posting.
What Saving Creates
| Source | Transaction | Contents |
|---|---|---|
| Feed usage detail in the range | One stock issue | One line per feed product, each valued at its own cost |
| Eggs or milk in the range | One stock receipt | The house harvest product, in the unit chosen on the house |
| Morning + evening deaths in the range | A separate stock issue | The house livestock product, charged to the mortality expense account |
Mortality uses its own transaction rather than riding along with feed, because its contra account differs and one inventory transaction has only one contra account.
After Saving
- Stock cards, cost of goods, and journals are created exactly as they would be for a manually typed inventory transaction.
- Every daily row in the range is marked as posted and becomes locked.
- The cost and margin per coop report starts showing money figures.
Common Problems
- "The date range overlaps posting": check the postings of that batch, then narrow the range.
- "Feed was recorded without any product detail": complete the feed detail on the daily records first.
- "The feed expense account is not set" or "The harvest account is not set": complete them on the House form.
- "The mortality expense account is not set on this coop": the livestock product is set but its account is not. Fill in the account, or clear the livestock product if deaths should not be booked yet.
- "The coop division has no inventory transaction number format", or a format shared with another division: fix it on the Division master.
- "No daily record can be posted in this range": there are no daily rows, or all of them are posted already.
- Feed or livestock stock goes negative: the inbound side was never booked. Posting still runs, exactly like a manual stock issue.
User Checklist
- The date ranges leave no day unposted.
- The feed, harvest, and mortality transaction numbers appear in line with what happened in that range.
- The posted feed kilograms match the feed usage report for the same range.
- For corrections: delete the posting, fix the daily records, then post again.
