Coop / House
The house holds every setting: the division that carries its cost, the animal type, feed and harvest products, posting accounts, the age-based feed schedule, and its batches. This form is the centre of the Farm module.
When This Form Is Used
- When a new house is built or put into service.
- When opening a new batch - batches are entered from inside this form, not from a menu of their own.
- When changing the age-based feed schedule, harvest products, or posting accounts.
Before You Fill It In
- The division for this house exists, with an inventory transaction number format that is unique across divisions.
- A department inside that division exists.
- The animal type exists, with its track eggs, weight, or milk switches set correctly.
- Feed products, egg or milk products, and the livestock product exist with the right base units.
- The feed expense, harvest, and mortality expense accounts exist in the chart of accounts.
Workflow
- Fill in the house code and name, then pick the animal type.
- Pick the division. A division may be held by only one house; if another house already uses it, saving is refused.
- Pick the department. It must belong to the same division.
- Fill in location, capacity, operator, and supervisor. All three become the defaults when a new batch is added.
- Fill in the default feed product and the feed expense account.
- For layer or dairy houses, fill in the egg or milk product, choose the egg posting unit, and fill in the harvest account.
- If livestock will be carried as inventory, fill in the livestock product in head and the mortality expense account.
- Fill in the Feed Schedule by Age at the bottom of the form: age ranges and their products.
- Add a Batch at the bottom of the form for the cycle that is running or about to start.
Fields That Matter
| Field | What to watch |
|---|---|
| Division | The house cost center. All of its stock, COGS, and journals land here. It cannot be shared with another house. |
| Department | A sub-location inside the house division, and the endpoint of inventory transfers. |
| Capacity | How many animals the house holds. Used as the default initial count when a new batch is added. |
| Feed Product | The fallback feed when the age schedule does not cover that day age. It also widens the feed choices allowed on daily records. |
| Feed Expense Account | The contra account when feed leaves stock. Required whenever feed usage is posted. |
| Egg / Milk Product | The finished goods received into stock on posting. Its base unit must match what is recorded daily. |
| Post Eggs As | Pieces or kilograms. Decides which daily figure the posting uses. |
| Harvest Account | The contra account when harvest enters stock. Required whenever harvest is posted. |
| Livestock Product (head) | Set it and dead animals are issued from inventory on posting. Leave it empty and deaths stay a population figure only. |
| Mortality Expense Account | The contra account when dead animals are issued from stock. Required once the livestock product is set. |
Details and Relations
- Feed Schedule by Age - one row per phase: from age, to age, and the product. Enter 0 as the end age for the final phase that applies from then on. Ranges may not overlap within a house, because overlapping ranges make the suggested product depend on row order.
- Batches - one row per production cycle: start date, initial count and weight, operator, supervisor, status, and close date. Operator, supervisor, and initial count are pre-filled from the house and remain editable.
After Saving
- Daily records of this house batches immediately follow the new settings.
- The feed choices on daily detail rows follow the schedule and default feed you just saved.
- The next posting uses the latest division, department, products, and accounts. Postings already created do not change.
Common Problems
- "This division is already used by another coop": pick another division, or release it from the previous house.
- "The department does not belong to this coop division": pick the department again after the division is right.
- "The coop is still used by a batch": a house cannot be deleted while batches exist, because batches carry daily records and postings.
- The house of a batch cannot be changed once that batch has postings. Delete the posting first.
- Egg or milk fields missing: check the tracking switches on the animal type.
