Leads

Prospective customers with no account yet. Kept apart from the Customer master so unproven prospects do not appear in the customer list, the sales reports, or the receivables.

When To Use It

Fields Worth Attention

Field What to watch
Code & Name The shop name as known in the field. The code can double as the future customer ID.
Status New → Contacted → Qualified / Disqualified → Converted. The last one is set by the application during conversion.
Latitude / Longitude The outlet position. Used for territories and for verifying visits. A text address is not enough.
Customer Group Required before conversion. The new customer's receivable accounts come from this group.
Salesman Required before conversion. He becomes the new customer's default salesman.
Source Where the lead came from. The funnel report uses it to judge which sources actually produce revenue.
Customer & Converted On Filled by the application on conversion. Do not type them manually.

Turning a Lead Into a Customer

  1. Make sure the lead has a Customer Group and a Salesman.
  2. If credit terms are agreed, record them on the Deal: credit limit, limit type, and payment term. Those values travel with the conversion.
  3. Save the lead, then press Convert to Customer.
  4. Type the new customer ID when asked. The application creates the customer, moves the contacts, and repoints the pending deals and activities.
The lead is not deleted. It remains as the trace of where this customer came from — which is what makes the "source vs real revenue" report trustworthy.
