Activities
The most frequently opened form. One row is one interaction with a customer or lead: visit, call, WhatsApp, meeting, or collection. It serves two purposes at once — planning follow-ups, and recording what happened.
When To Use It
- Every outlet visit: press Start Visit on arrival, End Visit when finished.
- Every promise to follow up: create a row with status Planned and a due date.
- Every collection attempt, even when done during a visit: use the Collection type so the effort is counted.
Fields Worth Attention
| Field | What to watch |
|---|---|
| Activity Type | Visit, Call, WhatsApp, Meeting, Collection, or Other. Reports separate visits from the rest, so do not record a call as a visit. |
| Subject | Short and readable by someone else, e.g. "Offer August promo package". |
| Customer / Lead | One of them is required. An activity attached to nobody appears in no history. |
| Status | Planned, Done, or Cancelled. Planned rows past their due date appear as arrears in the Salesman Performance report. |
| Due Date | When this should be done. Fill it for plans; it may stay empty for records of past events. |
| Result | What happened. This is the column the next person reads before contacting the same outlet. |
| Sales Order | The SO this activity produced. Effective call is measured from it — without it a productive visit looks the same as a courtesy call. |
| Deal | Fill it when the activity is part of pursuing a deal, so the history gathers in one place. |
The Start & End Visit Buttons
- Make sure you have clocked in today. Without attendance the button refuses and says so.
- Fill Customer or Lead, then press Start Visit. The app asks for location permission, then records the arrival time and point.
- Do the visit. If it produces an order, raise the Sales Order.
- Press End Visit, fill in Result (and the SO number if any). Departure time and point are recorded, and the activity becomes Done.
If location permission is denied the visit is still recorded — only without a point, and reports count it as a plain visit rather than a verified one.
When Something Goes Wrong
- "Clock in for today before starting a visit" — the salesman has not clocked in yet.
- "A visit is still open" — the previous visit was never closed. Close it first. This is deliberate: two open visits put visit time against the wrong outlet.
- "This user is not linked to any employee" or "not linked to a salesman" — complete the links in the Employee and Salesman masters (see the Concept page, setup order).
