Approval Inbox
One screen holding every document waiting for your action, across all transaction types at once. Approvers work per waiting document, not per module — without this screen they would have to open four different menu groups just to see what is there today.
What Appears Here
Two things, and both are genuinely waiting on your decision:
- Documents waiting for your approval — only the document types your role is authorised to approve.
- Documents you created that were rejected — so the rejection reason reaches you without hunting through the original form.
Approval Screens per Document Type
Besides this combined inbox, each transaction type has its own approval screen in its module's menu group: Sales Approval, Sales Return Approval, Purchases Approval, Purchase Return Approval, Accounts Receivable Collection Approval, Accounts Receivable Adjustment Approval, Payable Payment Approval, Payable Adjustment Approval, Expense Journal Approval, Revenue Journal Approval, Incoming Inventory Approval, Outgoing Inventory Approval, Inventory Transfer Approval, Inventory Adjustment Approval, Product Assembly Approval, and Product Breakdown Approval.
- Each lists only pending documents of that type, with the full columns of the original document - for checking detail before deciding.
- The action is the same: change Approval Status, fill the Rejection Reason when rejecting, save. A decision on any screen counts the same.
- The Approval Inbox stays the fastest place for cross-module approvers; the per-type screens suit single-module approvers or documents that must be read in full.
Approving or Rejecting
- Open Approvals / Approver Work / Approval Inbox. The red count on the menu tells you how many are waiting.
- Review the document. Value, Division, Requester, and Requested Date are enough for routine decisions; for anything that needs scrutiny, open the original through the per-type approval screen.
- Change Approval Status to Approved or Rejected.
- If rejecting, fill in Rejection Reason. That sentence is what the creator reads, so write what they must fix, not merely "wrong".
- Save. The row leaves your list, and if approved the effects are created immediately.
Columns Worth Noting
| Column | What to note |
|---|---|
| Document Type | Shows which form the document came from. Sales Return and Sales appear separately even though they are stored in the same table. |
| Number | The original document number. Use it to open the document in its own form when closer inspection is needed. |
| Value | The document value. Empty for documents that carry no monetary value, such as inventory transfers. |
| Requester | Who created the document. |
| Level / Required | Only appears when a Multi-Level Approval Rule matches. "1 / 2" means one signature of the two required. |
| Rejection Reason | Only appears on rejected documents. |
After a Rejection
Rejecting does not delete the document. Its fate is decided by its creator:
- If they fix and save it, it returns to pending automatically and the old rejection reason is cleared.
- If they delete it, the row disappears from this inbox too.
- If they do nothing, the document simply remains — with no effect, and still visible in their own inbox as a reminder.
Common Problems
| Symptom | Most common cause |
|---|---|
| Inbox empty although someone submitted | Your role has no Forms This Role May Approve entry for that document type. |
| No Approval Inbox menu | The Approval Workflow add-on is not active. Journal and inventory transfer approval still work through their per-type screens. |
| Document approved but stock unchanged | Check that the status really is Approved and not still waiting for the next level. |
| Status column cannot be edited | You are looking at your own rejected document. That column is read-only there; fix the document in its own form. |
